JOB TITLE: Senior Administrative Assistant for Academic Affairs

DIVISION: Division of Academic Affairs

SUPERVISOR’S TITLE: Vice President for Academic Affairs

BASIC FUNCTIONS: This position is responsible for providing and coordinating administrative services for the Division of Academic Affairs. Under general supervision, the senior administrative assistant performs a variety of sensitive and confidential secretarial, technical, and administrative functions using current technological tools. ________________________________________________________________________________

PRINCIPAL ACCOUNTABILITY

  • General office management
  • Preparation of meeting minutes and reports
  • Coordination of schedules and calendars for the Vice President for Academic Affairs and Associate Vice President for Academic Affairs
  • Coordination of meetings and events of the Division of Academic Affairs
  • Assist VPAA with timely management of communications, approvals, and signature requests
  • Assist with preparation and/or timely submission of reports and relevant correspondence/documents for the Vice President’s appointments and meetings.
  • Maintain accurate electronic and/or hard copy records of personnel
  • Budget management and entry of requisitions in the purchasing system
  • Coordination of travel for VPAA and AVPAA and for selected faculty and/or student groups
  • Assist with communications and official documents of the Division
  • Provision of support to the academic departments
  • Maintain equipment and supplies for the Office of Academic Affairs
  • Maintain databases for internal and external reporting
  • Monitor and confirm responses to student and faculty requests for information and assistance
  • Other duties as assigned

  • Strong oral and written communication skills
  • Effective interpersonal skills
  • Ability to effectively digitally communicate through traditional and new media
  • Excellent computer skills and proficiency with a variety of computer applications
  • Ability to anticipate and respond to emerging needs of students, faculty staff, various units, and visitors

MINIMUM EDUCATION, TRAINING AND EXPERIENCE:

· Associate’s degree required; bachelor’s degree preferred

· Demonstrated technology proficiency (including Microsoft Suite)

· Previous administrative experience in office setting (5 years minimum)
